Cancellation Policy
We understand that sometimes situations come up that require you to change your plans. If you must cancel or reschedule your appointment, we require that you notify us at least 24 hours in advance in office hours. This helps us protect the time of our practitioners and our clients and ensures that we can continue to deliver upon our promise of exceptional service.
- All clients will be required to pay a deposit of the treatment fee on booking. This deposit becomes non-refundable according to this cancellation policy.
- Payment is taken, in full at the time of treatment less any deposit.
- Philippa Jane Aesthetic Nurse accepts cash, or major debit and credit cards
Cancellations and rescheduled appointments without 24 hours’ notice will incur a cancellation fee equal to the deposit paid at booking in lieu of lost appointment.
Missed appointments (“no-shows”) will be charged the deposit. This fee is non-refundable and cannot be put toward any future treatments.
Appointments booked within 24 hours of the scheduled appointment may be cancelled or rescheduled no later than 6 hours prior to the scheduled appointment time without incurring a cancellation fee of the deposit.
We understand that you have a busy schedule and allow a grace period of 15 minutes after your scheduled appointment time. If you are more than 15 minutes late to your appointment, we may need to reschedule your appointment to accommodate your service(s). If we do not hear from you within 15 minutes after your scheduled appointment start time, your appointment will be considered a “no-show” and you will be charged the full deposit.
Where treatments are delivered over several appointments, the business reserves the right to charge a percentage of the treatment cost for a ‘no-show on a single occasion in lieu of a lost appointment and request per appointment payment.
Some appointments require expensive treatment products to be purchased in advance or are a prescription medicine. Where prescription only medicine is specially purchased for your treatment, you will required to pay a deposit which becomes non-refundable if you cancel your appointment no matter the reason.
Appointments can be rescheduled up to 24 hours prior to appointment time without loss of deposit.
Agreement
By booking an appointment with Philippa Jane Aesthetic Nurse, you acknowledge that you have read and understood our booking, cancellation, and deposit policy and agree to be bound by the terms and conditions stated.
Terms and Conditions
All clients requesting treatment at Philippa Jane Aesthetic Nurse will agree to the following terms and conditions of Business;
Scope of Services:
Philippa Jane Aesthetic Nurse shall provide the Client with the following services: Non-surgical aesthetic treatments as set out in the clinic brochure, website and social media and will not be delivered without a face-to-face consultation with the clinical practitioner who is trained to deliver such procedures.
Information
- All patients are required to provide contact details, including address, telephone and email in order to secure an appointment.
- All clients will complete a medical history form at their first appointment, this is necessary to inform the consultation and treatment planning process.
- All information will be treated as confidential and protected in accordance with Data Protection legislation
- Patient information will not be shared with third parties without written permissions, and you will not receive unsolicited information from us.
- You may choose to remove yourself from our mailing list at any time, by unsubscribing.
New Patient – Telephone Consultation
Whilst telephone consultations are discouraged, we acknowledge some circumstances when this service may be helpful; particularly for our patients who will be travelling long distance. New patients, seeking advice from a practitioner in a telephone discussion, require a diary appointment of 30 minutes. Patients must call the clinic at the time agreed. A charge of (£25) is made, payable in advance.
Appointments
- Please provide as much notice as possible, if you need to cancel or reschedule your appointment, so that we may make best use of our appointment diary. Cancelled appointments with less than 24 hours’ notice will incur the loss of the deposit. This also mitigates against lost appointments that cannot be used for other clients.
- If you do not attend a booked appointment, and fail to advise us in advance, you will lose your non-refundable deposit and may be charged to make another appointment. (Please see cancellation policy)
- Please do NOT attend the clinic for an appointment if you are unwell. If you are unsure, please call and discuss. Many treatments are contraindicated if you are unwell; this includes colds, cold sores or local skin infections. You will not lose your deposit if you advise us you are unwell.
- Routine review appointments are offered after treatment with Botulinum Toxin as a courtesy. If you are unable to attend the review appointment at 2-3 weeks, no additional treatment or ‘top up’ is provided once the review period of 2-3 weeks has passed.
- New patients are seen for consultation and assessment; except in exceptional circumstances, with prior arrangement, treatment is not provided on the first visit.
- Clients are advised that appointments can be reschedules on up to 4 occasions without loss of deposit if compliant with cancellation policy.
Children
We do not allow children, babies or young adults under the age of 18 in the clinic. This is for your child’s safety as it is a medical environment. We may have to cancel your appointment should you attend with a child, and this will be classed as an ‘on the day cancellation’ and you will lose your deposit.
Payment Terms:
The Client agrees to pay a deposit as set from time to time by the clinic and remainder of the fee on completion of the treatment or at intervals throughout the treatment as determined by Philippa Jane Aesthetic Nurse.

- You will be advised of the full costs of any treatment plan proposed and agreed, including that of any maintenance treatment, before any treatment is undertaken.
- Payment is taken, in full at the time of treatment less any deposit.
- The clinic accepts cash, or major debit and credit cards.
- Where products are a prescription only medicine or are purchased prior to your treatment, a deposit will be charged and will become non-refundable if the appointment is cancelled for any reason. Appointments can be rescheduled up to 24 hours prior to appointment time without loss of deposit.
Fees charged for treatment are for the delivery of a treatment and the accompanying service, which is inclusive of;
- consultation and assessment
- provision of information and advice
- safe treatment with evidence-based products
- follow up appointments and aftercare advice and support as appropriate
Whilst we undertake to provide excellent service; factual, honest and ethical advice, safe, expert treatment in experienced hands and only the best products, we cannot guarantee your results and cannot offer refunds if the results achieved fail to meet your expectations.
Term and Cancellation
This Agreement shall commence on booking and payment of the deposit and continue until the end of the treatment and full payment is made unless cancelled earlier by either party according to the cancellation policy.
Confidentiality: Both parties agree to keep all information confidential and not to disclose it to any third party without the prior written consent of the other party.
Liability:
The Company shall not be liable for any indirect, incidental, or consequential damages resulting from the provision of services under this Agreement. Philippa Jane Aesthetic Nurse is fully insured and will, within reasonable parameters act to mitigate or minimize any adverse effects that the client may suffer as a result of treatment unless the client fails to disclose any condition or allergy that they are aware of at time of booking or they have suffered a similar reaction or outcome previously and have failed to disclose it at the time of booking or during consultation. Philippa Jane Aesthetic Nurse reserves the right to decline a booking or reject a client for treatment if after consultation the client is deemed to be at risk of a poor outcome from the proposed treatment. Philippa Jane Aesthetic Nurse clinical practice is governed by the Nursing and Midwifery Council Code of Conduct and the Royal Pharmaceutical Society.
Training:
All clinical practitioners ensure mandatory training is updated annually, that relevant training to deliver treatments is undertaken and certificated by a reputable training provider and updated as required. All treatment protocols are available in written format and aftercare is also available, whilst generally provided verbally at the end of each treatment episode.
Force Majeure:
Neither party shall be in breach of this Agreement if there is any total or partial failure of performance by its due to any cause beyond its reasonable control.
Governing Law and Jurisdiction:
This Agreement shall be governed by and construed in accordance with UK law and the parties agree to submit to the exclusive jurisdiction of the UK courts.
Assignment:
Neither Philippa Jane Aesthetic Nurse or the client may assign or transfer their rights or obligations under this Agreement without prior written consent from the other party.
Entire Agreement:
This Agreement contains the entire understanding between the parties and supersedes all prior agreements, whether written or oral, relating to the subject matter of this Agreement.
Feedback
Any feedback is much appreciated, both positive and negative. Feedback is used to review and improve quality of service. You may submit feedback verbally, via email, via the clinic website or via the Save Face website.
Complaints
If you have a complaint, please inform us as soon as possible. An appointment will be made for you to be seen. A copy of our Complaints Policy is available on request.
In undertaking to book for treatment, pay a deposit, attend a consultation and consent to treatment, the client agrees to all conditions contained within these terms and conditions.
